TITLE: Secretary – High School Counselors
QUALIFICATIONS:
High School Diploma.
Strong computer skills.
Proficiency in the secretarial skills of typing, filing, office procedures, operations of office equipment and machines.
Ability to work with staff, students, and the public.
Strong organizational skills.
Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
REPORTS TO: Building Administrator.
JOB GOALS:
To support the delivery of School District 91’s written, taught, tested and reported curriculum and contribute to maximizing student achievement.
To ensure the smooth and efficient operation of the counselors’ office so that the office’s maximum positive impact on the education of students can be achieved.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Places, receives, and routes telephone calls cordially and accurately records messages.
Welcomes visitors graciously and assists them as needed.
Updates and maintains student files, including test scores.
Coordinates college visits.
Coordinates school testing with the school counselors and building administrators.
Processes and distributes scholarship information, collects and sends completed application forms as instructed, and maintains a current scholarship file.
Maintains a neat and orderly inventory of resource materials and contacts resource agencies to order more materials as needed (college information, financial aid, etc.).
Processes incoming and outgoing correspondence for the counselors as instructed.
Coordinates the counselors’ appointments and arranges for conferences and interviews.
Helps maintain a list of student aides and the teacher to whom they are assigned.
Helps students gain access to the CIS through a counselor or career tech.
Distributes 504 Plans to teachers as directed.
Works collaboratively with counselors, registrar, and other clerical staff.
Assists students with schedule changes.
Performs routine clerical duties.
Maintains office equipment.
Orders and maintains an inventory of office supplies.
Assists other office personnel as schedule allows.
Maintains high standards of ethical behavior and confidentiality.
Has regular and predictable attendance.
OTHER DUTIES AND RESPONSIBILITIES:
Performs all other duties as assigned.
TERMS OF EMPLOYMENT:
This position is scheduled for 8 hours per day, 203 days per year. Benefits will be in accordance with approved Board policy. Wages will be in accordance with the Classified Salary
Schedule as a Grade 5.
This is an “at will” position in that the employer or employee may terminate employment at any time or for any reason consistent with applicable state or federal law. The “employment
at will” policy cannot be changed verbally or in writing, unless the change is specifically authorized in writing and expressly approved by the Board of Trustees of District 91.
VII. EVALUATION:
Performance of this position will be evaluated annually by the Building Administrator and the Counselors in accordance with provisions of the Board’s policy on the evaluation of classified
personnel.
This position has been given an overall physical classification of light duty.
1 – 33% 34 – 66% 67-100%

Medium 40 pounds 20 pounds 10 pounds
Heavy >50 pounds** 40 pounds 20 pounds
**Lifts over 50 pounds with proper body mechanics and 2 or more workers.
