Two years of advanced training in business and accounting or equivalent experience. Competence in the use of computers and business machines. Experience in office procedures, accounting, purchasing, and other business procedures. Strong organizational skills. Ability to work with staff, students, and the public. Such alternatives to the above qualifications as the Board may find appropriate and acceptable. REPORTS TO: Coordinator of Business Functions. JOB GOALS: To support the delivery of School District 91’s written, taught, tested and reported curriculum and contribute to maximizing student achievement as tested with the Idaho Standards Achievement Test. To assist the Coordinator of Business Functions in providing efficient processing of all District purchases and other accounting functions. ESSENTIAL DUTIES AND RESPONSIBILITIES: Assists the Coordinator of Business Functions in ensuring that proper quoting and bidding procedures are followed. Researches and prepares on-line bids and quotes. Prepares and reviews quotes for parts for the Transportation Department. Processes on-line orders. Verifies the information on requests to purchase, creates the purchase orders, and distributes all copies appropriately. Ensures that employees are following established procedures when initiating requests to purchase. Completes monthly bank reconciliation and performs JV entries as needed. Prepares reports for reimbursement of Professional Technical Grants. Provides fiscal and purchasing support for all elementary and secondary schools Checks petty cash and travel claims and submits to the Coordinator of Business Functions. Performs year-end audit procedures for elementary and secondary schools. Maintains computer vendor file and collects updated W-9 forms. Completes year-end vendor report including all school reports for 1099 processing. Performs monthly Payroll audit. Processes accounts receivable invoices, reviews pending invoices, and maintains files. Processes accounts receivable receipts. Prepares accounts payable checks for mailing. Prepares on-line UPS labels for daily package pick up. Functions as the USPS liaison for standard mailing from schools. Maintains accurate records of postage used by each location. Processes Postage by Phone order. Serves as the contact person for service calls for the mailing equipment, copiers, and printers and orders supplies as needed. Orders consumable supplies for the Administration Office. Collects and files inventory information from all locations. Assists with accounts payable as needed. Maintains high standards of ethical behavior and confidentiality. Has regular and predictable attendance. OTHER DUTIES AND RESPONSIBILITIES: Performs all other duties as assigned. TERMS OF EMPLOYMENT: This position is scheduled for 8 hours per day, 260 days per year. Benefits will be in accordance with approved Board policy. Wages will be in accordance with the Classified Salary Schedule as a Grade 9. This is an “at will” position in that the employer or employee may terminate employment at any time or for any reason consistent with applicable state or federal law. The “employment at will” policy cannot be changed verbally or in writing, unless the change is specifically authorized in writing and expressly approved by the Board of Trustees of District 91. EVALUATION: Performance of this position will be evaluated annually by the Coordinator of Business Functions in accordance with provisions of the Board’s policy on the evaluation of classified personnel.
