Two years post secondary training and/or prior office experience preferred. Proficiency in computer functions including Word, Excel and Outlook. Strong organizational skills. Proficiency in office procedures including keyboarding, filing, and operation of office machines. Ability to work with staff, students and the public. Above average verbal and written communication skills. Ability to work independently with minimum direction to meet deadlines. Such alternatives to the above qualifications as the Board of Trustees my find appropriate and acceptable. REPORTS TO: Director of Business JOB GOALS: To support the delivery of School District 91’s written, taught, tested and reported curriculum and contribute to maximizing student achievement. To assist the Director of Business with the administration of the district’s business affairs so as to provide the maximum services for the financial resources available. ESSENTIAL DUTIES AND RESPONSIBILITIES: Performs daily accounting procedures (expense vouchers, petty cash, checks, bank deposits, receipting, stop payments, tuition, correspondence, etc.). Ensures all legal posting and publishing requirements are met. Distributes incoming mail and processes outgoing mail. Assists the Director of Business with the budgeting process and gathers information as directed. Oversees all district elections and serves as the chief judge. Maintains daily purchasing card charges and notifies employees of the need for receipts. Processes monthly financial reports for purchase orders, monthly withholdings, printing charges, copier charges, budgets, and bank reconciliations. Processes property tax payments. Processes insurance claims including student accident claims, restitution, etc. Updates property and liability insurance policy annually. Maintains records involving grants to the district. Serves on the Classified Sick Leave Bank and processes necessary correspondence. Maintains regular filing system including files for legal documents, bonds, levies, property acquisition, etc. Places and receives telephone calls cordially and accurately records messages. Maintains high standards of ethical behavior and confidentiality of information. Has regular and predictable attendance. OTHER DUTIES AND RESPONSIBILITIES: Provides coverage for the Receptionist as requested. Performs all other duties as assigned. TERMS OF EMPLOYMENT: The exact terms of this position will be determined by the needs of the district and budgetary constraints. Benefits will be in accordance with approved Board policy. Wages will be in accordance with the Classified Salary Schedule as a Grade 9. This is an “at will” position in that the employer or employee may terminate employment at any time, or for any reason consistent with applicable state or federal law. The “employment at will” policy cannot be changed verbally or in writing, unless the change is specifically authorized in writing and expressly approved by the Board of Trustees of District 91. EVALUATION: Performance of this position will be evaluated annually by the Director of Business in accordance with provisions of the Board’s policy on the evaluation of classified personnel. The majority of the time is spent sitting at a desk, working on the computer, completing paperwork and answering the telephone.
