Strong organizational and planning skills. Proficiency in Microsoft with an emphasis in Excel, clerical skills, filing, operating calculators and other office machines, etc. Experience and/or specialized training in the field of printing. Knowledge of paper sizes, weights and cutting procedures is desirable. Ability to work with staff, students, and the public. Ability to work independently. Two years of experience in clerical or secretarial work requiring frequent contact with the public. Such alternatives to the above qualifications as the Board may find appropriate and acceptable. REPORTS TO: Superintendent or designee JOB GOALS: To support the delivery of School District 91’s written, taught, tested and reported curriculum and contribute to maximizing student achievement. To ensure the smooth and efficient operation of the curriculum office so that the maximum positive impact on the education of students may be achieved. To meet the District’s needs for publications as efficiently, economically, and expeditiously as possible. ESSENTIAL DUTIES AND RESPONSIBILITIES – CURRICULUM SUPPORT Works with the Curriculum Coordinators to purchase inventory, and deliver resources for curriculum and professional development projects. Organizes and maintains files concerning curriculum documents, new adoptions, committees, purchases, etc. Maintains department websites Communicates frequently with vendors for resource and materials, obtains price quotes, generates purchase orders, and coordinates the delivery of materials to schools. Generates order for yearly consumable supply requests. Processes district purchase card receipts, purchase orders, and check requests. Maintains budget reports, contracts, and inventory. Processes Personnel Action Forms (PAF) for district employee stipends. Project management duties include: scheduling facilities; communications; financial controls; coordinating technology, presenters, and vendors; setup and delivery of materials for trainings, conferences and meetings. ESSENTIAL DUTIES AND RESPONSIBILITIES – PRINTING/OFFICE ASSISTANT Provides prompt and efficient printing of materials generated and needed by District personnel. Prints flyers, letters, programs, newsletters, and forms as requested Assists in the selection and ordering of duplicating materials and supplies as needed. Files duplicating originals and maintains an adequate supply of standard forms as needed. Maintains accurate records of printing and reproductions done for departments or schools for billing purposes. Operates a 19 5/8” Guillotine paper cutter, comb binding machine, Martin Tabletop folder, and Spinet paper drill. Maintains the physical environment of the Print Shop in a neat and orderly manner. Typesets brochures and forms as needed. Consults with schools and programs to ensure efficient use of the print shop and all copying equipment and processes Establishes and maintain a district wide library of documents and forms Provides clerical support for the school safety program including preparing for meetings, ordering supplies, maintaining the budget, and scheduling safety-related trainings. Maintains school safety documentation including the following for each location: representatives, safety plans, drills, evacuations, facility maps, MOUs, Stop the Bleed training, CPR trained, etc.) Provides clerical Distributes incoming mail and processes outgoing mail Assists other departments with projects when time permits Has regular and predictable attendance. Maintains high standards of ethical behavior and confidentiality. OTHER DUTIES AND RESPONSIBILITIES: Performs all other duties as assigned. TERMS OF EMPLOYMENT: This position is scheduled for 8 hours per day, 244 days per year. Monday through Friday is considered to be the normal workweek. Emergency conditions may arise which will require attention at any hour of the day or night. The exact terms will be determined by the needs of the district and budgetary constraints. Wages will be in accordance with the Classified Salary Schedule as a Grade 6 to 8. Benefits will be in accordance with approved Board policy This is an “at will” position in that the employer or employee may terminate employment at any time, or for any reason consistent with applicable state or federal law. The “employment at will” policy cannot be changed verbally or in writing, unless the change is specifically authorized in writing and expressly approved by the Board of Trustees of District 91. EVALUATION: Performance of this position will be evaluated annually by the Superintendent or designee in accordance with provisions of the Board’s policy on the evaluation of classified personnel.
